Introduction

This privacy notice describes how we collect and use personal data about you in accordance with the General Data Protection Regulation (GDPR), the Data Protection (Jersey) Law 2018 (and amendments thereto) (the law) and any other national implementing laws, regulations, and secondary legislation, as amended or updated from time to time, in Jersey (‘Data Protection Legislation’).
Except as set out below, we do not share, sell, or disclose any information collected through our website to a third party.

About Us

Value Bookkeeping Services (VBS) is a Jersey company (registration number: 34569) which provides bookkeeping, administrative and accountancy services to local businesses of medium and small size.
VBS is registered with the Jersey Data Protection Authority (registration number: 100730).

VBS is registered under Article 14 of the Proceeds of Crime (Supervisory Bodies) (Jersey) Law 2008 to carry on the following specified Schedule 2 business, as defined in Article 1 of the Law services as described in Paragraph 2 of Part B of Schedule 2 of the Proceeds of Crime (Jersey) Law 1999.

Personal Data we may collect, store and process

The information we collect and process may include your name, company name, date of birth, address, other contact information, details of the proposal and contract we have had with you, our correspondence and communication, enquiries, and information we receive from sources of publicly available information.

We may process, collect, and store your personal data when implementing certain Client Due Diligence (CDD) procedures. We must hold documentary evidence confirming all clients’ identities and residential addresses on file. From time to time, we must ask for further information to be provided or for these documents to be re-supplied so that we can update our records in accordance with our obligations under the Money Laundering (Jersey) Order 2008 and the Data Protection (Jersey) Law 2018.

Sometimes, we must process your information to comply with a statutory obligation. For example, we may be required to give information to legal authorities if they so request or have the proper authorisation, such as a search warrant or court order. This may include your personal information.

We may process, collect, and store your personal data when you contact us by email, telephone, post, or social media or through automated systems when you visit our website.

We may process, collect, and store your personal data when you request a proposal from VBS regarding the services we provide, when you engage with us to provide our services and during the provision of those services.

We may process, collect, and store your personal data or purposes necessary for the performance of our contract with you or our clients and to comply with our legal obligations arising from any agreements entered between our clients and us (which will most usually be for the provision of our services) where you may be a subcontractor, supplier or customer of our client.

We may use your personal data to provide you with information related to our services and to seek your feedback on the services we provide or any changes to our services.

Data Sharing

We may sometimes receive data that is indirectly made up of your personal information from third parties whose services we use.
We may need to share your personal information to enable us to carry out our contractual obligations arising from any agreements entered between you, our clients and us, which will most usually be for the provision of our services. This includes sharing your information with our accounting software provider and other software integrated with Xero, which enables us to deliver our services.
We will share your personal data with third parties where we are required by law, with a regulator, or where we have another legitimate interest in doing so.

Data Security

VBS has implemented appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. The information we hold and our computers are protected online and offline. We have a duty of confidentiality. We undertake regular data protection training to handle all personal data appropriately and securely.
